Terms & Conditions

Please read these before you register.

By registering for IPC16 Thailand 2026 you agree to the terms below. They cover booking, payment, cancellations and transfers, accommodation, family and financial support, our code of conduct and liability. Questions can go to registration@thaipermaculture.org.

Registration and Booking

Finalisation
There are two ways to book. If you buy on Ticketmelon, your place is confirmed when your payment is complete. Your e-ticket arrives by email, and we will email you to ask for the details of anyone coming with you. If you pay by personalised invoice (groups of 5 or more adults, and students), your place is confirmed when the registration coordinator confirms that full payment has arrived.
First come, first served
Museum dormitory beds are limited to 150 and allocated in the order that payments are received.
Group bookings
To qualify for the 10% group discount, a minimum of five people must register together.
Independent regional subgroups
The IPC does not run an internal coordination system for regional delegations. These groups organise their own internal travel and logistics, and remain fully eligible for the 10% group discount when registrations are submitted together.

Payment Terms

Ticketmelon checkout
Most bookings are paid on Ticketmelon: card, Thai QR and wallet payments all run through Ticketmelon's checkout, and your e-ticket arrives by email. The refund and cancellation terms set out in these terms still apply to those bookings.
Payment methods
Personalised invoices are paid by bank transfer, for both Thai and international participants (we accept WISE for international transfers). This route is for groups of 5 or more adults, and students. For anything else, email registration@thaipermaculture.org. We do not accept cash.
Invoicing
If you are paying by personalised invoice, we send it after you submit the registration form. It lists your totals, any rentals, and any discounts you qualify for.

Cash policy
Cash is not accepted under any circumstances.
Transaction fees
Any bank transfer fees, currency conversion charges or credit card processing fees are the participant's responsibility.
Confirmation
Paying by bank transfer? Email your payment receipt to registration@thaipermaculture.org. Your placement is finalised only when the team confirms full payment. Ticketmelon buyers do not need to send anything: the e-ticket is your confirmation.

Cancellations and Refunds

We understand that plans can change. As a non-profit event with no external funding, we commit to venues and catering well in advance, so refund windows tighten as the event approaches.

Non-refundable items
Individual bus tickets between Pathum Thani and Wang Nam Khiao (600 THB) are non-refundable once booked, as vehicle capacities are fixed. Bank, currency conversion and credit card processing fees on the original payment or refund are the participant's responsibility.
Force majeure
If the conference is cancelled by the organisers due to circumstances beyond our control (for example extreme weather or regional instability), we will refund as much as possible after covering non-recoverable costs already paid to venues and vendors.
How to request a refund
All requests must be submitted in writing to registration@thaipermaculture.org. Refunds are processed back to the original bank account or payment method used during registration.

Registration Transfers

Fair Share option
If you cannot attend, you may transfer your registration to another person at no additional cost until 25 October 2026.
How to transfer
The original registrant emails registration@thaipermaculture.org with the new attendee's full name and contact details.
What transfers with it
Dormitory bed allocations are linked to the registration and pass to the new participant.

Accommodation and Logistics

Conference stay
The Conference Plus dorm package includes 5 days and 4 nights of shared-bathroom lodging at the Museum. Check-in Friday 6 November afternoon, check-out Tuesday 10 November morning.
Museum amenities
Breakfast is not provided. The Farmers' Market opens daily from 08:00 for coffee, Thai pastries, snacks and local food. The Conference Plus package does not include breakfast or dinner on Sunday 8 November.
Alternative conference lodging
If you do not secure a Museum dormitory package, we recommend booking independently at the nearby One Hotel in Pathum Thani.
Convergence camping
The base rate includes camping ground access, shared bathrooms and all communal meals. Bring your own tent and bedding unless a rental is pre-booked.
Tent rentals
1-person tent with full bedding 2,000 THB. 2-person tent with full bedding 3,500 THB. For the full duration of the Convergence.
Off-site near Convergence
Veravian Resort and Baan SuanPlearn DaRaHomestay are nearby alternatives. Participants book and pay independently.
Inter-venue transport
Free between the Museum and the Convergence venue on the combined Conference and Convergence package. Otherwise return bus transport is 600 THB per person. Buses leave the Museum Tuesday morning 10 November to the Convergence, and return to Bangkok Sunday afternoon 15 November.

Family and Financial Support

Children's rates
Children are free at the Conference. At the Convergence, ages 0 to 5 are free, ages 6 to 12 are 1,000 THB and ages 13 to 17 are 2,000 THB to cover onsite catering. The Museum dorm is for adults and for youth aged 13 to 17 accompanied by an adult; children under 13 cannot stay in the dorm. Families with younger children attending the Conference should arrange off-site lodging such as the One Hotel in Pathum Thani.
Student rates
Valid students are eligible for half-price registration at the Conference (3,475 THB) and 10% off at the Convergence (16,200 THB). Valid student ID required.
Concessionary rate
Residents of eligible countries (Thailand; Southeast Asia; South and East Asia; most Pacific island nations; all of Africa and Latin America) pay a concessionary registration rate of approximately 30% off: Conference 5,000 THB, Convergence 13,000 THB. Buying on Ticketmelon? Choose the Concessionary ticket. Paying by personalised invoice as a group or a student? Give your country of residence on the registration form and we will apply the rate (on the invoice it may be labelled the “Tier 2 concessionary rate”). The 10% group discount for five or more paying adults applies to group invoices only: it can be combined with the concessionary rate on a group invoice, but it cannot be applied to Ticketmelon purchases.
Financial assistance
Support is available for dedicated practitioners facing severe financial constraints. Contact the registration coordinator for details.
Volunteers
Discounted registration rates are available in exchange for vital volunteer work. Contact the coordinator to apply.
Fair Share sponsorship and donations
When registering, you may sponsor a Conference ticket (3,475 to 5,000 THB) or a full Convergence experience (13,000 THB) for a regional participant, or donate any amount to the travel subsidy fund. Email registration@thaipermaculture.org and we will arrange it with you.

For the conference, participants are responsible for their own transport if they are not staying in the museum dormitory.
